Administrative Coordinator About the job Position: Administrative Coordinator Job Summary: We are seeking a highly motivated and organized Administrative Coordinator to join our team. The ideal candidate ensures efficient administrative support and effective communication across departments. this role involves managing meeting documentation, tracking action items, maintaining records, and facilitating smooth and efficient operation of our office. Duties & Responsibilities: Manage and maintain the office calendar, schedule appointments, and coordinate meetings
Assist in the development of detailed project plans including scope, objectives, timelines, and resource requirements & track project progress against timelines, budgets, and milestones such as IT and ERP Implementation Projects.
Coordinate end-to-end transition from the current ERP system to a new ERP platform, ensuring minimal disruption to business operations
Record, prepare, and distribute accurate minutes of meetings.
Distribute meeting summaries and track action items to ensure timely execution.
Maintain organized records, files, and documentation for meetings and departmental communications.
Handle correspondence, schedules and agendas.
Assist with the preparation of project proposals and contracts
Act as a liaison between departments to ensure effective communication.
Coordinate and monitor workflows to ensure tasks are completed on schedule.
Generate reports and summaries as needed for management.
Assist in preparing presentations and documents for meetings or review.
Assist in maintaining office organization and efficiency.
Propose improvements to tracking systems and workflows.
Coordinate project activities and ensure alignment with organizational goals.
Ensure compliance with organizational policies and procedures.
Maintain effective communication channels with project team.
Facilitate project meetings, including kick-offs, progress reviews, and post-project evaluations.
Support managers and team members with administrative tasks as required. Qualifications: Bachelor’s degree in Business Administration, Management, MIS or any related field.
proven experience in administrative or coordination roles
Excellent communication and interpersonal skills
Strong organizational and time-management skills
Proficient in Microsoft Office Suite and other relevant software
Ability to work independently and as part of a team
