Filing and Executive Assistant About the job Job Title: Filing Expert and Executive Secretary Job Description: We are seeking a highly organized and detail-oriented Filing Expert and Executive Secretary to manage critical documentation and support executive-level functions within our organization. This role requires exceptional multitasking abilities, a proactive attitude, and excellent communication skills to ensure smooth office operations. Key Responsibilities: 1. Filing and Documentation: • Organize, maintain, and update physical and digital filing systems for easy retrieval and compliance. • Implement best practices for document management and ensure confidentiality of sensitive information. • Track, label, and archive records following organizational policies and legal requirements. 2. Executive Assistance: • Manage executive calendars, appointments, and meetings efficiently. • Draft, edit, and proofread correspondence, reports, and presentations. • Act as a point of contact between executives, clients, and internal teams. 3. Administrative Support: • Handle incoming calls, emails, and messages with professionalism. • Prepare meeting agendas, take accurate minutes, and follow up on action items. • Coordinate travel arrangements, accommodation, and itineraries for executives. 4. Office Coordination: • Ensure office supplies are stocked and systems are operational. • Assist with special projects, reports, and research as assigned by executives. • Collaborate with other departments to streamline processes and improve efficiency. Qualifications and Skills: • Proven experience in filing management and executive secretarial roles. • Proficiency in office software, including Microsoft Office Suite (Word, Excel, PowerPoint) and document management systems. • Strong organizational and time-management skills, with attention to detail. • Ability to handle confidential information with discretion and integrity. • Excellent written and verbal communication skills. • Ability to prioritize tasks and work effectively under pressure. Preferred Qualifications: • Knowledge of record-keeping standards and regulations. • Familiarity with cloud-based filing systems and modern digital tools.
